AI tools and automations

AI automation for businesses, without the science project

Quantrel automates the repetitive admin that eats a small team's week: triaging enquiries from web, email and WhatsApp, drafting quotes and invoices, chasing follow ups and sending reminders. Everything is wired into the tools you already use and runs on zero retention business tiers, so your customer data never trains a public model.

DefinitionAI automation
AI automation is the use of language models and workflow tooling to complete routine business tasks that previously needed a person to read something and decide what to do with it: sorting an enquiry, drafting a reply, extracting figures from an invoice, or deciding whether a follow up is still needed. It differs from classic automation, which can only follow fixed rules and breaks the moment the input varies.
01

What we actually automate

The jobs that are high frequency, low judgement and currently done by a person retyping something. Those are the ones where the hours are real and the failure modes are cheap.

We do not start with a platform and look for somewhere to put it. We start by asking where the week goes, then automate the three or four things at the top of that list. If the honest answer is that AI does not help your business, we will say so on the call rather than sell you something.

  • Enquiry triage: web forms, email and WhatsApp landing in one place, summarised, tagged and routed
  • Quotes and invoices drafted from call notes or an email thread, in your format, ready to check
  • Follow ups that chase a quote and shut themselves off the moment the customer replies
  • Booking confirmations, reminders and no show chasers
  • Review requests timed to the end of a job, with replies drafted for the ones that come in
  • Supplier invoices, delivery notes and purchase orders read and dropped into your sheet or accounts package
  • A Monday summary: what came in, what is outstanding, what actually needs you today
  • Stock and reorder alerts driven off your own sales data
02

Where the hours come from

Typical small teams lose most of a working day each week to eight recurring jobs. The automations above target that list directly, and the estimator on our homepage lets you tick the ones that apply to you and see the total.

The figures behind the estimator are typical for a small team doing each job by hand, not measurements taken from your business, and the tool says so plainly next to the total. They are deliberately conservative. The point of the number is to start an honest conversation about which two or three are worth automating first, not to win an argument.

03

It has to work with what you already run

An automation that lives in its own portal gets abandoned in a month. Everything we fit writes back into the systems your team already opens: your inbox, your calendar, your accounts package, your spreadsheet.

That constraint rules out a lot of impressive demos, which is the point. The measure of a working automation is that nobody thinks about it after week two, because the quote is simply already drafted when they go looking for it.

04

An assistant on your website

A site assistant trained on your business answers the twenty questions customers keep asking, at eleven at night, in your words, and hands over to a human the moment it is out of its depth.

It is grounded in your actual pages, prices and policies rather than left to improvise, and it is configured to say it does not know instead of guessing. Every conversation it cannot resolve becomes an enquiry in the same triaged inbox as everything else, with the transcript attached, so nobody has to ask the customer to explain twice.

05

Training, because unused tools are wasted money

Every automation ships with plain English training for the people who will live with it, and a written note of what it does, what it will not do, and how to switch it off.

  • Two sessions with your staff, in their language, on their actual work
  • A one page written summary per automation, not a manual nobody opens
  • An off switch on everything, documented, that does not require us
  • Someone to call when it does something unexpected

How this differs from the two things it gets confused with

AI automation sits between a chatbot subscription and a custom development project. It is worth being precise about which one you are buying.

What it isWhere it stops
An off the shelf AI subscriptionA tool your team opens, types into and copies out of. Useful, cheap, immediate. It never touches your systems, so someone is still retyping the output into the invoice.
AI automation (what we fit)Language models plus workflow tooling wired into your existing inbox, calendar and accounts package, on zero retention tiers. It automates jobs that follow a recognisable shape. It does not replace judgement on the ones that do not.
A custom AI buildBespoke software, its own interface, its own hosting, its own maintenance bill.Rarely justified below a certain scale, and it is the option agencies quote when the first two would have done.

How the work runs

  1. 01

Free audit of where the week goes

Within one working day of asking

We look at how work actually flows through your business: where enquiries arrive, who reads them, what gets retyped, and what falls through. You get a short written report ranking the jobs worth automating by hours returned against effort to fit.

  2. 02

Fixed quote on the top three

    Same week

We quote the two or three automations at the top of that list, not all eight. Starting narrow is what makes the first one land, and the ones that follow are cheaper because the plumbing already exists.

  3. 03

Fit, connect and test on real work

One to two weeks per automation

Built against your real inbox, your real quote template and your real accounts package, then run in parallel with the manual process until it is boring. Nothing is switched over on the strength of a demo.

  4. 04

    Train the team

    Two sessions

In plain language, on their actual work, with the off switch shown first. If your staff cannot explain what it does, we have not finished.

  5. 05

    Watch it, then extend it

    Ongoing

We check the first month for the cases it handled badly and tighten them. Once one automation is trusted, the next is faster and cheaper to add, which is why we do not sell all of them up front.

Questions about ai tools and automations

What can you actually automate for a business like ours?
The repetitive parts. Enquiries from your website, email and WhatsApp triaged into one place. Quotes and invoices drafted from the call notes. Follow ups that chase a quote and stop the second someone replies. Booking confirmations, reminders and no show chasers. Review requests after a job. Supplier paperwork read and filed. We only fit the ones where we can point at the hours they give you back.
If we use AI, does our customer data end up training someone else's model?
Not with us. Every AI tool we fit runs on zero retention business tiers with written no training terms, never on consumer chat accounts. We also strip identifying details before anything leaves your systems, so what does go out cannot be tied back to a customer. If a vendor will not put that in writing, we do not use that vendor.
What happens when the AI gets something wrong?
It gets caught, because nothing customer facing sends without a human in the loop by default. Quotes and invoices are drafted for you to check, not issued. The site assistant is configured to say it does not know rather than guess, and hands the conversation to a person. We run every automation in parallel with the manual process until it is boring, and everything has a documented off switch that does not require us to operate.
Nobody on our team is technical. Is that a problem?
No, it is who we build for. Everything comes with training in plain language, and we set things up so day to day changes take a couple of clicks. If you would rather not touch it at all, the Partner plan means you just email us.
Will this replace our staff?
That is not what we sell and it is not what the work does. The jobs at the top of the list are the ones nobody wants: retyping quotes, chasing quiet leads, filing supplier paperwork. Removing those gives a small team back the hours to do the work that actually needs a person. If your plan is headcount reduction rather than capacity, we are the wrong fit and would rather say so early.
Do we need to change the software we already use?
Almost never, and we treat it as a failure if the answer is yes. The automations are fitted around your existing inbox, calendar, accounts package and spreadsheets. A tool that requires your team to work somewhere new is a tool they will stop opening by the second month.
